Privacy Policy
Effective 9 July 2026
This policy explains what personal information Kavana Labs collects through kavanalabs.org and learn.kavanalabs.org, how we use it, and the choices you have. We collect only what our programs need, and we do not sell personal information.
Who we are
Kavana Labs is a STEM, engineering, research, and innovation initiative. For anything related to this policy or your data, contact hello@kavanalabs.org.
What we collect
We collect information you choose to give us:
- Applications and forms — when you apply for a program (such as KES 001), volunteer, register a school, propose a partnership or sponsorship, submit a community problem, or register general interest, we collect your name, email address, phone number if provided, and the answers you submit.
- Files you upload — if you attach a CV, résumé, or supporting document to an application, we store that file.
- Newsletter and waitlist — your email address, and your name if you provide it.
- Learning portal accounts — the portal at learn.kavanalabs.org is invite-only. For participants we hold a name, email address, and learning records such as course progress and submissions. The portal uses cookies strictly for signing you in and keeping your session secure.
What we do not collect
The public website does not set cookies, and we do not run advertising trackers or third-party analytics on it. We do not buy personal data from anyone, and we never sell yours.
How we use your information
- To review and respond to applications, registrations, and enquiries.
- To run our programs — communicating with participants, tracking learning progress, and issuing program-related records.
- To send confirmations of things you submit, and updates you signed up for. You can opt out of newsletters at any time.
- To keep our programs and platforms safe, accurate, and accountable.
Where your information lives
We use a small set of infrastructure providers to run our services: website hosting and file storage (Vercel), our database (Neon), and transactional email delivery (Resend). Your information may be processed on servers outside your country. We share personal information only with these service providers as needed to operate, or where the law requires it — never for advertising.
Young learners
Some of our participants are minors. We collect only what a program genuinely needs, and where learners join through a school, we work with the school's coordinators. A parent, guardian, or school can contact us at any time about a learner's information.
Retention and your choices
We keep information for as long as it is relevant to an application, program, or the relationship you have asked us to maintain. You can ask us to show you, correct, or delete the personal information we hold about you by emailing hello@kavanalabs.org, and we will act on reasonable requests promptly.
Changes to this policy
If we change this policy, we will update this page and its effective date. Meaningful changes to how we handle program participants' data will be communicated to affected participants directly.
